Read the summons and verify the official instructions
OATH explains that a summons is issued by an enforcement agency or citizen complainant; OATH does not issue summonses. Its guidance directs respondents to read the summons carefully and check the issuing agency for questions about the allegation. Review the current hearing information and available official options for your actual summons.
Your case record should distinguish the issuing agency, respondent, summons number, property, alleged condition, hearing information, and current recorded status. Avoid assuming that a statement or outcome from another building applies to this matter.
Collect evidence with a clear connection to the matter
Organize the original summons, relevant property records, photos or other supporting materials, and a chronology of the facts your team can substantiate. Keep the source and date of each item visible, and avoid treating an inference as a documented fact.

- The exact working statement reviewed by the responsible person.
- Current hearing instructions and any actual submission receipt.
Review the statement before using a form
A draft should explain the relevant facts consistently with the evidence. The responsible person should review every claim and decide whether professional assistance is needed. Record submission and decision as separate events
Save what was actually submitted and the available receipt. Label that step as submitted or awaiting decision when appropriate. A receipt does not establish an approved request or a dismissed summons.
